## At a glance

- **Your arrangements. Your rules.** Set rates for the practitioners, locations and types of work they apply to.
- **Costs and discounts, considered.** Define how costs and the default discount treatment affect the calculation.
- **Choose the people and period.** Run the saved template for selected practitioners and invoice dates.
- **Keep the reasoning.** Retain the template version and item-level calculation behind each run.
- **A statement with answers.** Review a PDF summary and follow the detailed spreadsheet back to an invoice.

## Make the calculation part of the clinic.

The rate is only the start. Bring the scope, source items, cost treatment and result into one connected workflow.

## Different work. Deliberate rates.

Build a template for the practitioners and locations it covers. Define percentage or flat rates for treatments, products and tags, with the scope visible beside each rule.

- **People and places:** The template identifies whose work and which locations it covers.
- **A rule for the work:** Select treatment, product or tag scope. Different rate rows can reflect different parts of your agreed arrangement.

## Show how you get to the result.

Choose whether to deduct costs, use actual or onsell COGS, and apply the default discount absorption rule. Keep those choices visible in the calculation, instead of leaving the reasoning in a separate worksheet.

- **Cost treatment you define:** Deduct the recorded actual cost or use onsell cost, which falls back to actual cost when no onsell value exists.
- **A deliberate discount rule:** Set the default percentage of a discount added back to the rate base.

## Make the order intentional.

Order active rates and choose whether the calculation stops at the first matching rule or continues through matching rules. Refund and void controls are part of each rate’s setup.

- **Ordered matching:** The sequence matters when more than one rate could match the same item.
- **Review the exceptions:** Configure refund and void handling, then review the resulting statement against the source items.

## Choose the people. Choose the dates.

Run a saved template for selected practitioners and a date range. The calculation uses practitioner-attributed invoice items from the template’s locations, with invoice dates interpreted in each location’s time zone.

- **An invoice-based calculation:** The source is eligible invoice items, rather than a filter for money collected. Imported invoices are excluded.
- **Queued comes before ready:** Run now queues the calculation. PDF and XLSX actions appear when their documents are available.

## A summary to read. The detail to review.

Review the rate summary and payable amount in the PDF. Open the spreadsheet’s Summary and Breakdown sheets for the source item, cost, discount and applied rate behind the calculation.

## Follow a line back to its source.

Each run retains its template version, source-item snapshots and applied-rate evidence. The spreadsheet links to the source invoice and customer, so a question about a line has somewhere useful to go.

- **The version used for the run:** A later template edit does not silently rewrite the calculation already retained with an earlier run.
- **The invoice behind the amount:** Inspect the item, discount, cost deduction and rate alongside the source invoice reference.

## Bring your contractor pay workflow.

Book a demo. We’ll walk through a template, its costs and discount treatment, a selected period and the detail behind the calculated statement.

## Your rules. Deliberate access.

Keep the configuration and calculation review with the people your clinic authorises. A calculated payable amount remains distinct from a payment transfer.

- **Authorised access:** Pays access and permission to run calculations are controlled separately.
- **Saved rules before running:** Unsaved template changes must be saved before Run now is available.
- **Retained calculation context:** The run records its template version and source-item calculation, so the result keeps its context.
- **Payee details with the record:** Business, tax and address settings supply the payee context for statements. Creating a statement does not transfer funds.

## FAQs

### Can different work use different contractor rates?

Yes. A template can contain percentage or flat-rate rules with treatment, product or tag scope. The clinic defines the arrangement, and the rate rows specify how qualifying invoice items are handled.

### Can we choose which practitioners and locations a template covers?

Yes. Templates identify the practitioners and locations they apply to. When running a saved template, an authorised user selects practitioners and a date range.

### Can costs and discounts affect the calculation?

Yes. A rate can deduct actual or onsell cost and apply a default discount absorption percentage. When an onsell cost is absent, the calculation falls back to actual cost. Your clinic reviews these settings against its agreed arrangement.

### Is the calculation based on invoices or money collected?

It uses practitioner-attributed invoice items and invoice dates from the template’s locations, interpreted in the location’s time zone. Imported invoices are excluded. It is not a calculation filtered only to money collected.

### How do overlapping rules, refunds and voids work?

Active rates have an order. The template can stop at the first matching rate or continue applying matching rates. Each rate also has refund and void controls. A demonstration can show your intended setup and how the resulting statement is reviewed.

### Can we inspect the detail behind a statement?

Yes. The PDF includes a rate summary and item detail. The spreadsheet includes Summary and Breakdown sheets with invoice items, discounts, costs, rate details and calculated amounts. Its invoice and customer references link back to their source records.

### Does running Contractor pays transfer the money?

No. This workflow calculates contractor remuneration and generates reviewable documents. The calculated payable amount is separate from transferring funds or completing statutory payroll obligations.

### Can our clinic review the setup before using it?

Yes. In a demo, we can walk through a sample arrangement, its cost and discount treatment, a selected-period run and its source-item breakdown. Your clinic remains responsible for its arrangement and the source data it uses.
