Help patients review an outstanding amount and update their card for a retry.
Review the whole picture.
Bring active memberships, non-active agreements and payment actions into reporting.

Start with the membership itself
Your programme. Its benefits. A clear way to join.
Create a credit membership or use a package configured for memberships. Review the dates, repeats, payment method and consent before creating the agreement.

Make the programme easy to explain.
Give your team the terms and payment details in one place when a patient asks about joining.
Choose the benefit, then review the agreement.
The example moves between package and credit setup. Dates, the payment method and consent belong to the membership workflow.
- Credit or package
Choose the allocation that fits your programme. A package can carry its treatment and product inclusions; a credit membership has its own amount and credit location.
- Subscription or instalments
A subscription renews inclusions according to its configuration. A fixed package paid in instalments spreads payments for one set of inclusions.
- A considered start
Keep the selected package, any joining fee, payment method and membership consent visible during setup.

“A membership needs to make sense on both sides of the desk. Patients should understand the benefits and payment commitments, and the clinic should be confident it can deliver what it promises.”
Benefits and billing
A payment date and an inclusion date can be different.
Set the collection cadence and, where your programme needs it, a separate inclusion cadence. The setup preview brings both onto the same dated schedule so the team can explain what happens when.
- Preview the complete schedule
Review payment dates, amounts and inclusion events before creating the membership.
- Keep the programme model clear
Recurring inclusions and a fixed package paid in instalments are different arrangements. The membership’s configuration determines which applies.
Inclusions renew according to the programme.
One set of inclusions. Payments across the agreed term.
Payment history with context
What is due. What was collected. What needs attention.
Open the patient membership to see the schedule beside its terms. Due date, collection date, amount paid and payment status answer different questions, and each stays visible.
Keep the outcome beside the due date.
A failed collection has its own reason and follow-up. Only a successful payment result fills in the collection date and amount paid.

A useful conversation starts with the record.
Review the membership terms and payment history before deciding the next step with a patient.
- A scheduled payment is still a future event
The scheduled total describes the agreement. Actual collection and amount paid appear when payment has been recorded.
- An outcome worth following up
Failed payments retain their reason and attempt history. Completed, skipped and refunded payments have their own states.
- Connected to the payment record
Where available, the invoice reference provides the next step for reviewing a collection.
When circumstances change
A pause should have a plan.
Choose when the pause begins, when it should end and the reason. Decide whether the pause should extend the membership end date, with the resulting dates visible on the agreement.
- Now or a future date
A future pause stays visible on an active membership before that date arrives. The paused state and resume action serve a different moment.
- Make the term decision explicit
Extending the term shifts future scheduled dates by the pause duration. The recorded history of paid collections stays intact.
- A separate cancellation decision
Cancellation can be immediate or scheduled. The confirmation explains the choice; outstanding open invoices remain collectable.
A practical payment follow-up
A failed collection is a moment to help.
Show the patient which membership needs attention and the outstanding amount. They can choose a saved card or add a new one, then confirm the amount before retrying payment.
- Clear about the amount
The confirmation identifies the outstanding cycle or cycles and the amount to be charged.
- Clear about the result
Updating a payment method and successfully processing a payment have distinct confirmations. The payment result determines whether collection succeeded.

A focused next step that patients can complete in their own time.
Updating a payment method does not confirm that collection succeeded.
In your clinic’s branded experience
Their membership. Your clinic.
Bring membership details into your clinic’s patient experience. The membership list shows the name, status, amount, interval and start and end dates, with a joining entry point when the patient has no membership.
- Your clinic’s identity
Keep membership information within the branded patient experience, alongside the other ways patients connect with your clinic.
- The details patients need
A current membership has a named programme, a status and its dates. Payment recovery provides a focused next step when a collection needs attention.
An operational view
Review the agreement and the payment activity.
Use the Memberships report to review active and non-active memberships, upcoming endings and payment actions. Keep the selected dates and location in context as you investigate a particular patient or programme.
- Membership detail
Review the programme, status, interval, dates and amount for the agreements you are investigating.
- Payment details
See completed, failed and skipped actions with their dates, amounts and available failure reasons.
- Read each measure for what it is
An agreement amount is not cash collected. Compare the membership terms with the recorded payment activity rather than treating every amount as recurring revenue.
Trust and control
Clear terms. Deliberate changes.
A membership combines benefits, payments and a relationship with your clinic. Keep the agreement and its outcomes reviewable.
Feature availability depends on your plan, enabled features and access permissions.
- Hosted in Australia
- Encrypted storage
- Consent during setup
- Membership creation requires consent confirmation. Configured membership forms have their own pending and completed states.
- Authorised management
- Billing permissions govern management actions such as pausing, cancelling and collecting a payment.
- Payment results stay distinct
- Scheduled, completed, failed, skipped and refunded states describe different events. A future collection is not presented as a completed payment.
- Your clinic owns the programme
- Your team chooses the benefits, terms and response to a change in circumstances. The software makes those choices and records visible.
FAQs
Can a membership provide credit or package inclusions?
Yes. Create a credit membership with its amount and credit location, or choose a package configured for memberships. Package memberships can carry treatment and product inclusions. The chosen programme determines the benefits, frequency and other terms reviewed during setup.
How is a subscription different from a package paid in instalments?
A subscription renews inclusions according to its configured cadence. A package paid in instalments spreads the cost of one set of inclusions across scheduled payments. Paying another instalment does not create another complete package. The actual package allocation follows the membership and payment workflow.
Can benefits and payments have different schedules?
Yes. Membership setup supports a separate inclusion cadence, subject to compatible intervals. The preview brings payments and inclusion events together by date. Your team can review the schedule before creating the agreement and explain what is collected and when inclusions accrue.
Can we pause or cancel a membership?
Authorised staff can choose a pause start date, an optional end date, a reason and whether to extend the term. Future pauses are visible before they begin. Cancellation can be immediate or scheduled and has its own confirmation. The membership’s Collect action is unavailable after cancellation. Review any outstanding invoice separately; cancelling the membership does not itself record a payment or settle the invoice.
What happens when a membership payment fails?
The payment record retains its status, available failure reason and attempt information. The patient payment-recovery flow shows the outstanding amount and allows a saved or new card to be chosen. The patient confirms the amount before a retry. Updating the card and successfully processing the payment are distinct results.
Can patients see memberships in our clinic’s branded app?
The branded patient experience supports a membership list with the programme name, status, amount, interval and start and end dates. When there is no membership, the list can provide a joining entry point. Payment recovery gives patients a focused way to update their card and confirm a retry when required.
What can we review in membership reporting?
The Memberships report includes active and non-active agreements and payment details, including completed, failed and skipped actions. Review the relevant date range, location, currency and measure. Agreement amounts describe membership terms; they should not be treated as cash collected or automatically described as monthly recurring revenue.
