Tasks and handovers for aesthetic and cosmetic clinic teams
Every handover. A clear next step.
Keep follow-up moving across your aesthetic clinic. Connect tasks to patients, assign the next owner and make due dates and progress visible, from the practitioner’s handover to your reception team’s working day.
A clear next step, even when the day gets busy.
Aesthetic clinic work continues after the consultation. A review to arrange, a patient to call, a question to follow up. Bring that work into DappleOS so the next person can see what needs doing, who owns it and when it is due.
Keep the patient in the picture.
Turn recorded handovers into tasks with patient context attached.
Make ownership clear.
Assign work to a person or team, with a due date and location.
Connect the next step.
Create tasks through configured automations and attach work to diary time blocks.
See what needs attention.
Review open work, recorded changes and completion in task views and reporting.
Carry the handover beyond the treatment room.
Recorded clinical-note handovers can create patient-linked rebook requests, front-desk to-dos and reception notes. Give reception the purpose and timeframe for the next step without copying the same context into a separate task app.
- A practical handover
Record a review request or a call, email, order, quote or send task alongside the note workflow.
- A place for the work to go
Configured reception-team routing assigns the handover. If that team has not been set up, the note author receives it.
- One connected record
Re-saving the note updates its corresponding handover tasks rather than creating another copy.
Give every task an owner.
Choose an individual or user group, add a due date and tag the location. Use the board to see work by status, or the table to work through the detail. Shared filters help your team focus on the right tasks.
- Organise your working day
Filter by assignee, type, status, location, completion and due date. Sort by due date or creation date.
- Keep progress understandable
Your clinic defines task statuses and types. Completion is recorded separately, so moving a task between statuses does not automatically mark it complete.
Put follow-up where the work happens.
A configured automation can create a patient-linked task for a person or team, with a due date and location. When you reserve time in the diary for admin, attach the tasks to that time block and record progress there.
- Create work from a journey
Set the task title, description, type, assignee and due date in the automation. Your clinic chooses which events and conditions create the work.
- Use the time you set aside
In the enabled time-block workflow, open the block to see and complete its tasks. Tasks on a recurring block belong to that individual occurrence.
Know what is open. See what changed.
The Tasks Productivity report shows completions by user, completion mix by type, open tasks by status and active tasks by assignment. Use those views to discuss follow-through, then open an individual task to review its recorded history.
- A record behind the status
Review creation, assignment, status, due-date and completion changes with the recorded person and time.
- A useful starting point for a conversation
Look at where work is waiting and who is completing it. Task counts describe recorded activity, not the quality of care or proof that a booking happened.
Trust and compliance
Your team stays responsible for the next step.
Tasks make work visible. Your clinic decides who can see it, who can change it and how it fits the patient’s care.
Feature availability depends on your plan, enabled features and access permissions.
- Hosted in Australia
- Encrypted storage
- Internal team work
- The task board and reception handover notes are staff workflows. Patient communication remains a separate action or configured automation.
- Controlled access
- Task viewing and editing are permission-controlled. Connected handovers, automations and time-block tasks depend on your enabled workflows and configuration.
- Recorded changes
- Task history records key changes and completion. Marking a task complete does not itself book an appointment or document a treatment.
FAQs
How does this help our practitioner-to-reception handover?
Recorded note handovers can create patient-linked rebook requests, front-desk to-dos and reception notes. The purpose, due date and assigned person or team make the next action visible. Your clinic sets up the routing, and staff remain responsible for completing the work.
Can we assign tasks to a team rather than one person?
Yes. Each task has one assignee, either an individual or a user group. Your team can filter by assignee and location, and review reassignment in the task history. This gives shared reception work a visible owner while still supporting individual follow-ups.
Can we organise tasks around our own workflow?
Yes. Your clinic can define task types and statuses, then use board or table views and filters for its working day. Completion is recorded separately from status. A task can also carry a patient, due date and location.
Can automations create follow-up tasks?
Yes. Configured automations can create patient-linked tasks with a title, description, type, assigned person or group, due date and location. Your clinic chooses the trigger and conditions. Creating the task does not mean a patient has been contacted or an appointment booked.
Can tasks sit alongside time reserved in the diary?
In the enabled time-block workflow, tasks can be attached to a saved appointment-book time block and completed from that block’s task list. For recurring blocks, the tasks belong to the individual occurrence. Book a demo to review the workflow and permissions for your clinic.
What can a clinic manager review?
The board and table show work by assignee, location, status, due date and completion. The Tasks Productivity report adds completions by user, completion mix by type, open tasks by status and active tasks by assignment. Individual task history shows who changed or completed the task and when; these records do not measure clinical outcomes.
Can this replace our separate handover lists?
Patient-linked tasks bring ownership, due dates and recorded changes into the same platform as the patient record. That can reduce the need to copy context into sticky notes, separate task apps or handover spreadsheets. A demo can map your current handover process to the available DappleOS workflows.
